Tools and/or services offered to clients for current workflow analysis and redesign when using an EHR?
e-MDs currently provides a staffing and workflow analysis online and/or onsite.  This includes analysis of current processes and workflows and redesign and change management guidance and training for the clinic staff.
Do you recommend a graduated implementation or a big-bang implementation (all live at the same time) for your EHR?
e-MDs recommends a split implementation (graduated implementation) to lessen the business interruption and ensure a stable foundation for each module. A typical split implementation will begin with the PM module and clinic staff. Ensuring claims are processing smoothly stabilizes the revenue cycle management of the clinic while the EMR module is implemented. If the clinic uses a centralized billing office, that is the group that is often implemented first.

Some clients have opted for a big-bang and have achieved this with success. For example, new practices or those converting to e-MDs from a system that is no longer available have immediate needs on both the PM and EHR functionality.

Is there a minimum amount of training required by your company in order to satisfy the support and maintenance contract that we would sign with you?

e-MDs offers post go-live training and practice optimization consulting. These will be based upon practice needs and will be tailored to match the practice's requirements. Additionally e-MDs also offers free online webinars for customers, such as for meaningful use readiness.

Does your product support ePrescribing? Is there an additional charge for this service or is it included in the overall cost?

There is a setup charge for basic e-Prescribing, and if formularies are desired a nominal monthly fee. e-MDs has attained Surescripts White Coat of Quality status in 2010 and 2011.
Which formulary does your product use?
e-MDs uses Surescripts and is also the top 10 volume aggregator. e-MDs received Surescripts White Coat of Quality Awards for both 2010 and 2011, demonstrating our commitment to eliminating electronic prescribing errors and dedication to supporting the efficiency and safety of the electronic prescribing process.
Does the system allow users to add drugs that may not be in the original database?
Yes
Users can create their own formulations or add medications that do not exist in the database.
How are drug allergies and adverse reactions recorded and integrated into the prescribing module?
The system stores both patient allergy and patient adverse reaction information and then uses that information to provide automatic notifications to users if a medication is prescribed to which a patient has an allergy or adverse reaction, drug-disease interactions, etc.
When prescribing multiple medications, am I presented with an ability to separately acknowledge or document individual alerts?

Information for each alert is listed separately, but in a single window to prevent "pop-up fatigue".
Is there an ability for the physician or practice to modify preset alerts? (e.g. Severe vs. mild or moderate)

Users can choose if they want intrusive (pop-up) alerts at different severity levels, or just visual cues.

How are episodic and long-term medications tracked in the patient’s record?
The system comes with preset content which becomes the default for each, although users can override this. Episodic medications automatically age off the patient's current medication list into a past medication list. Long-term medications remain in the current medication list until manually stopped. Users can also modify these defaults at the drug level, or at the patient level.
Does the system allow users to switch drug interaction checking on or off?

Options are available for users to turn Active interaction warning messages off or to limit the active messages however passive interaction indicators are always present.
In the medication list, is a user able to sort medications by multiple parameters including date prescribed, diagnostic code, active or discontinued?

Support & Maintenance
What is the process for managing questions and service requests?
e-MDs customers can initiate a support request through e-Mail, telephone, chat or themselves via the e-ticketing system.  All requests have a ticket assigned which the customer can monitor. Tickets are routed to appropriate staff based upon the ticket type and staff competencies. all e‐MDs customers have access to the e‐MDs Support Center. e‐MDs Support Center is an online
CRM system that has knowledge base (KB) articles, troubleshooter wizards, downloads, forums and online ticketing. All e‐MDs customers are provided with access to the e-MDs Support Center.
Are different tiers of support offered (including pricing information)?

What are the options for a client to contact your company for support?
e-Mail, self-ticketing, web-chat, toll-free telephone, internet monitoring (Webex), online knowledge base.
What level and type(s) of support are provided during go-live?
An e-MDs trainer will be onsite for go-live however the number of days will vary based on size, locations and complexity of the practice.
Is a formal users' group, online community forum or other form of social networking community available?
Yes, e-MDs customers have access to e-MDs Support Center. This includes user forums. e-MDs also has an Advisory Council comprised of customers representing different roles (doctors, staff) and different organizations (small practices, larger enterprises). There are also numerous smaller, more informal user groups in various regions that are driven by clients.
What are the standard hours of operation during which support is provided?
8am to 8 pm ET /7am to 7pm CT/6am to 6pm MT/ 5am to 5pm PT. Additional SLAs with extended coverage are available.
What are the steps for a client to escalate a support request?
The client can request access to managers. There are no barriers to this avenue.  In additional e-MDs also has an internal escalation process as well as automated alerts via our CRM system which will notify staff if an issue needs attention.

Are software upgrades provided as part of the software maintenance contract?

How are customer requests for enhancements and customizations handled?
Customers can submit enhancement requests via multiple channels including through a specifically designated link in e-MDs Support Center.  These are then routed to our product teams who will investigate the request and prioritize it for a future release.  Customizations are handled by project teams who will work with the client to develop requirements and then create a proposal and project timelines.
How are drug interaction tools updated in your system?
Drug content updates are provided on a regular basis at least quarterly. These updates can occur more frequently based on need. The updates are provided via the e-MDs support website and there is no additonal cost for these updates.
How are patient education materials updated in your system?
e-MDs provides content and also gives users free access to Krames. Krames content is updated automatically. e-MDs content, which can be edited is done periodically based upon new guidelines, etc. Users can also create their own content.
How are requests from clients handle for customizations of their system post “go-live”?
Dependent upon nature of the request. Interface and custom reports are tasked to a technical project manager who will work with the client and/or third party to develop specifications in concert with product specialists. In the event that the project will incur a charge, this is done based upon a mutually agreed specification. Many requests are simple training questions since the system offers a great deal of customization options. These would be handled by the support and/or training teams.
Is remote monitoring available with the ability to alert clients about system problems?
No

What is your recommended backup strategy?
e‐MDs recommend a rotating backup scheme (disk to disk or tape) of a Full back up every Friday and differential backups every night. It is further recommended to have the backups vaulted external of the physical location of the clinic for a period of 1
week. e‐MDs provide script to perform a nightly backup with the SQL server application. Backup files, back disks or physical backup media can be encrypted and password protected using common industry backup software such as Symantec, IBM Tivoli, or Arcserve. These applications can also be used to restore either the e-MDs EHR Database or DocMan document imaging files from backup in the event a restore is required. For hosted solutions, e-MDs also offers a disaster recovery tool which saves a local copy of the provider’s schedule as well as patient health summaries in the event that access to the internet is disrupted by a natural disaster or other reasons.

Hosted systems have backups managed for clients.
Do you offer remote backup for a client's system?

Third party option offered by some e-MDs business partners who may charge additional. For a hosted solution, this is a provided solution which is part of the service.
When an interface goes down, how is that information recovered?
Information is not lost when an interface goes down. Messages queue up on either vendor's system.  Once the interface or connection comes back up, messages transfer would resume.
 
Reporting Tools
Does your system provide a reporting tool with pre-formatted reports?

e-MDs provides pre-defined reports with multiple filtering and other options that give users the ability to look at their data in many different ways. Many reports also have export options (Excel, csv, PDF, etc) and some can be automatically tasked on a periodic basis.
Is your reporting tool able to create the following reports?

e‐MDs is accepted by CMS for EHR certification for PQRI/S. As a demonstration of our experience, e‐MDs was also one of the first vendors to validate DOQ‐IT reporting in several states states during that program.
 
Order Management Tools
Does your program provide any order management tools?

A closed-loop order tracking system is included at no extra charge. Users can define which orders to track. When results are received electronically they are automatically reconciled. Users are prompted to reconcile letters and faxes manually.

The system includes a complete document management system (DocMan) that allows practices to go completely paperless. An integrated faxing solution is also provided with no extra cost. Faxes that are received electronically do not generate any paper.
