Server - SuccessEHS uses Windows servers to host the solution. Solaris servers are used to host the Oracle database.
Does the company resell any hardware?
No, SuccessEHS is not a network vendor. However, as a solutions vendor, SuccessEHS will provide an IT liaison as part of the implementation team to assist in choosing devices, hardware, and network infrastructure that will optimize usefulness of the software. The network will need to meet the technical specifications which SuccessEHS will provide upon request.

Most SuccessEHS clients use WIFI. Advantages of our deployment model are that the channel is secured and no data is stored on the client machine thereby reducing risk and liability associated with HIPAA and offering ease in network administration.

Implementation and training
Tools and/or services offered to clients in order to achieve meaningful use of their EHR?
SuccessEHS offers training sessions (live, web-based classes as well as recorded classes and written implementation and training guides) to guide physicians in incorporating into their workflow the functionality designed to support Meaningful Use criteria. Software configuration options allow providers to control prompting to reinforce compliance, optimizing physicians' opportunities to achieve full compliance with Meaningful Use in the shortest possible timeframe.
Tools and/or services offered to clients for current workflow analysis and redesign when using an EHR?
An Operational Assessment tool is provided to clients prior to implementation to assist in the discovery process, designed to bring to light any potential clinical or business issues that may need to be addressed in the implementation and workflow re-engineering process. A SuccessEHS Clinical Consultant is available to guide clients through the workflow analysis and redesign process to optimize configuration of the software to meet the client's needs.
Do you recommend a graduated implementation or a big-bang implementation (all live at the same time) for your EHR?
SuccessEHS can support whichever implementation approach is desired by the client. Some clients prefer to take an incremental approach (e.g., implement the billing system + eSuperbill before the EHR; utilize pilot project implementations before rolling out to the entire organization); SuccessEHS has crafted a hybrid "EHR Lite" implementation, which focuses on implementing the functionality to support Stage One Meaningful Use. SuccessEHS also supports clients preferring the big-bang approach.

Is there a minimum amount of training required by your company in order to satisfy the support and maintenance contract that we would sign with you?

The number of training hours required is indivdualized by contract because it is wholly dependent on the level of system adoption and goals of the clinic. SuccessEHS delivers a customized training experience for each individual client.
Do you provide any guarantees regarding the ability of a practice to meet meaningful use requirements?

We are currently a recognized ONC-ATCB Certified 2011/2012 Complete EHR and pursuant to that certification our system has the necessary features to allow a practice to achieve Meaningful Use.
Does your company provide any guarantees that your EHR product will comply with Stage 2 and Stage 3 meaningful use requirements?

See response above. SuccessEHS is committed to meeting all HHS requirements so that its clients can achieve Stage 1 meaningful use, as well as all future stages brought about through federal administrative rulemaking. SuccessEHS provides contractual warranties accordingly.

SuccessEHS provides certified workflows to position the eligible provider to exceed the meaningful use requirements and address additional opportunities. Requirements will be set forth in the individual License Agreement.
What services do you offer for post-implementation optimization of the system with respect to training and system customization?
We offer extensive services for post-implementation optimization of the system. Training is an ongoing service that we offer over the SuccessEHS University. Clinics offen experience staff turnover; we encourage new staff members to be formally trained on the software.
Prescribing
Does your product support ePrescribing? Is there an additional charge for this service or is it included in the overall cost?

SuccessEHS provides eRx capabilities through Surescripts for $19.95/month/provider, which includes unlimited electronic transmission, formulary checking, medication history through RxHub, and refill management.

Does the system allow users to add drugs that may not be in the original database?
Yes
Users are permitted to add "Manual Meds" in the Multum drug database. However, these are not subject to interaction checking and alerting or formulary checks.
How are drug allergies and adverse reactions recorded and integrated into the prescribing module?
SuccessEHS 6.0 seemlessly embeds a third party pharmaceutical management solution called First Data Bank. First Data Bank has a comprehensive drug product database, including drug names, drug product information, disease names, generic names, brand names and common abbreviations. The tool facilitates drug-to-drug, drug-to-allergy, drug-to-food, allergic cross-reactivity checking, drug-to-disease interaction checking and therapeutic duplication alerting, which is stored in the EHR.
When prescribing multiple medications, am I presented with an ability to separately acknowledge or document individual alerts?

Acknowledging separately is a requirement of the SuccessEHS system.
Is there an ability for the physician or practice to modify preset alerts? (e.g. Severe vs. mild or moderate)
Yes
Several preset alerts based upon the severity of the interaction are available in the system, including: major only, major and moderate, and all. SuccessEHS also provides the ability to require all physician’s to receive all warnings.
Is there an ability for the physician to filter the display of alerts?
Yes
Physicians have the option to select which alerts they would like to see. SuccessEHS also provides practice administration with the means to override the physicians' preference requiring them to view all warnings if so desired.
How are episodic and long-term medications tracked in the patient’s record?
Medications are tracked in two ways in the Medication Summary screen: 1) By current medications prescribed by the physician; or, 2) From an outside provider. Once a medication has been discontinued, the drug automatically moves to the Medication History.
Does the system allow users to switch drug interaction checking on or off?
No
Drug interactions cannot be turned off as a matter of patient safety. However, individual physician-users can reduce the number of alerts by limiting the interaction severity to avoid alert fatigue.
In the medication list, is a user able to sort medications by multiple parameters including date prescribed, diagnostic code, active or discontinued?

SuccessEHS provides the ability to sort all patient medications by multiple parameters including: date prescribed, medication name, SIG, refills, prescriber, expiration, pharmacy, pharmacy phone number, renewals, etc.

What pre-defined templates do you provide?
Definition: A template is a pre-defined structured capability to rapidly record content including information on clinical conditions or vital signs through mechanisms such as menus, predefined fields or checklis
SuccessEHS has integrated Medicin®, a fast, easy-to-use approach to templating. Medcin® includes over 300,000 clinical data elements. SuccessEHS provides a library of over 2800 pre-designed templates that can be adopted or tweaked, or practices and providers can develop forms from scratch. Examples: Clinical Documentation, Health Collaborative Measures, Vital Signs, Import Medical and Family History, Order Sets, Immunization Schedule, Patient Correspondence forms, Superbill Views.
Do you charge additional fees for any of templates?
No
SuccessEHS encourages its clients to use the template library. As clients work with SuccessEHS to develop new forms, the templates are incorporated into the template library and made available to other SuccessEHS customers
Can clients customize existing templates?
Yes
Customization of the clinical documentation can be done at the end-user/analyst level and does not require vendor intervention, except as needed for general support. SuccessEHS provides a library of over 500 pre-designed templates that can be adopted or tweaked. Although practices and providers can develop from scratch, SuccessEHS recommends that the client start with one of the templates in its library and work with a Medcin specialist to customize the template to meet their needs.
Can clients use tools provided through the system to develop their own templates?

SuccessEHS provides access to the Medcin Toolkit to a clinic's appropriately authorized user(s).
Will your company build custom custom templates to the practices specifications?

SuccessEHS provides custom Template construction as a standard part of its offering during the initial implementation. Post-implementation customization is billable at a rate of $150/hour.
If a doctor has created a custom template in their EHR, will the templates and custom rules be maintained when new full releases and patches are installed?

All Medcin templates are stored as metadata in the client's database. The Medcin tool opens the templates and displays accordingly.
Support & Maintenance
What is the process for managing questions and service requests?
SuccessEHS provides call-in support, email support and web-enabled support. At SuccessEHS we take Customer Support very seriously. We answer the phones with well-trained personel in less than 10 seconds on average.
Are different tiers of support offered (including pricing information)?
No
The same level of exceptional customer service is offered to all SuccessEHS clients. SuccessEHS does triage support calls to adhere to issue resolution policies. Clients have direct access to the issue journals through the SuccessEHS University.
What are the options for a client to contact your company for support?
Clients can contact SuccessEHS by phone, Email, fax and web-enabled access by directly logging issues through SuccessEHS University and the customer portal.
What level and type(s) of support are provided during go-live?
Go-live support is considered the "game-day" phase of SuccessEHS implementation and critical to the project's ultimate success. Delivered based on the client's preference, SuccessEHS offers both onsite (70%) and fully-remote (30%) staging of its go-lives. SuccessEHS has an overall success implementation rate of 98%, with no apparent disparity in success rate for remote vs. onsite.
Is a formal users' group, online community forum or other form of social networking community available?
SuccessEHS hosts an annual customer conference each year and conducts bi-monthly roundtable discussions. The conference provides information that allows SuccessEHS customers to assess workflow, identify automation opportunities and network with peers.
What are the standard hours of operation during which support is provided?
SuccessEHS provides access for Critical and Non-Critical needs Monday through Friday from 7am-6pm Central Time
Access for Critical needs is available 24 hours/7 days a week.
What are the steps for a client to escalate a support request?
In the event client is dissatisfied with the level of service provided by SuccessEHS, SuccessEHS management will facilitate a meeting with client in an effort to resolve satisfaction issues. The standard path for issue escalation is: Call and ask for the Support Manager > Manager of Client Services > Director of Client Operations > VP of Operations > CEO. SuccessEHS management team is extremely accessible and spends much of their time interacting with the customer base.
Do you use off-shore technical support?
No
All SuccessEHS Customer Service works out of its headquarters in Birmingham, Alabama, with the exception of a few employees who work remotely from their homes. All of the remote employees are located in the Southeastern region of the United States.
Are software upgrades provided as part of the software maintenance contract?
Yes
All upgrades are included in the SuccessEHS maintenance services. SuccessEHS operates a tri-annual release cycle with target updates in March, July and November. SuccessEHS supports the last two version releases.
How are customer requests for enhancements and customizations handled?
Clients can log any enhancements through SuccessEHS Support. Market requirements (Federal regulations, CMS demands, incentive programs), client requests and features identified internally determine what goes into the next release.
How are drug interaction tools updated in your system?
Drug interaction tools are updated monthly through First Data Bank. For hosted customers the updates are automatically applied; non-hosted, the customer downloads the update file from SuccessEHS' secure FTP site. Update cost is included in the license cost.
How are patient education materials updated in your system?
SuccessEHS has integrated patient-specific education content through a third-party product call ExitCare Patient Education Solution. This tool features close to 3,000 documents covering most medical specialties and is available in 10 languages.
How are requests from clients handle for customizations of their system post “go-live”?
SuccessEHS develops its solution to be completely configurable by an appropriately priviledged user. If the client doesn't feel comfortable making the change alone, a simple call into SuccessEHS support is all it takes to setup an advisory shadow session.
Is remote monitoring available with the ability to alert clients about system problems?
Yes
At no additonal cost, SuccessEHS configures the database server to provide a daily “Heart Beat” message. This Heart Beat comes automatically every night to SuccessEHS, confirming that optimum communication is occurring with the database server.
What is your recommended backup strategy?
In the SuccessEHS datacenter, backups are done real-time by the SAN, and daily for secure, off-site storage with Iron Mountain. The back-up writes to the SAN, which backs-up to a redundant SAN. If necessary, EHS can access data on the SAN. Data recovery is either obtained from the back-up or the SAN log-files. Backup tapes are rotated daily, always providing one month's worth of backups on tape for all weeks except the current week stored at an offsite facility.
Do you offer remote backup for a client's system?
Yes
SuccessEHS will work with a client to help develop a remote backup strategy. Some clients like the option of creating an Oracle standby server. Excluding equipment costs, the fee involved is $500 for setup and $250/month for maintenance and support.
When an interface goes down, how is that information recovered?
As a matter of policy, SuccessEHS only purges messages once successful notification has been received, indicating that the messages have been safely stored in the database. Happily, in the rare event that an interface goes down, there is no data loss. The traffic flow picks back up and recovers automatically.

Although the system has over 600 comprehensive standard reports, SuccessEHS provides Business Objects to mine data off the live Oracle database (FQHC/FQHCLA, UDS, health disparities and heath management, research, or other ad hoc reporting needs).

Over 600 "canned" reports are bundled with the system. Business Objects is provided at an additional cost. However, all of the Business Objects reports kits come standard with the Business Objects license.

SuccessEHS is PQRS 2012 Certified with CMS for EHR-based reporting in its PQRI program to send PQRI clinical measures directly to CMS utilizing HL7 QRDA based on HL7 CDA, Release 2.0 specification standards.
Order Management Tools
Does your program provide any order management tools?
Yes
SuccessEHS provides a comprehensive Order Management system as an integral part of the EHR system (no additional cost), including support for standing orders, routine orders, deferred orders, identification of delinquent orders.
Does your program provide any document management tools?
Yes
SuccessEHS provides a number of document management solutions which provides efficient access to documents stored within the EHR. A more comprehensive integrated faxing solution is in development and is targeted for release in Q1 2011.

Numerous workflow management tools are available. For example, the Clinical Console is designed to track wait times in each stage of the clinical encounter in order to prevent bottlenecks, optmize efficiency, and improve patient satisfaction.

SuccessEHS offers both a Patient Portal product and a CDA document reader. The PHR services are included with the EHR.

What are the data conversion and transfer costs?
Yes, SuccessEHS will provide a comprehensive demographics conversion for $4,000 per database, regardless of number of providers or number of patient records. A patient balance forward may be added for an additional $2,000 per database. Conversion of data beyond these standard offerings would require a sample of test data from the client and mutual agreement on conversion goals and acceptable pricing. All conversions assume that the client is able to obtain usable data from the legacy system.
